69 an hour 2 days ago 2 days ago 2 days ago Under supervision of the Chancellor, and general direction of the Office Manager, the Office Assistant is responsible for assisting the Office Manager and Chancellor for the smooth and efficient operation of the front office; responding to inquiries from students, staff and public; preparing, distributing and processing documents; inputting data; maintaining records and files; performs a wide variety of clerical and secretarial work for administrative staff; assists in the Health Office.
Primary responsibilities include, but are not limited to:
Responds to inquiries from administrative staff, students, parents and the public to provide information, clarification and/or direction to appropriate parties; Prepares and distributes documents (e.
g.
correspondence, forms, newsletters/bulletins, student data, reports, schedules, etc.
) to provide information to administrative staff, students, parents and the public; Inputs data into computer student information system (e.
g.
student enrollment, attendance, student information, etc.
) to ensure timely and accurate information is available;, Assists Office Manager in maintaining office/school supply inventory to ensure adequate supplies and materials are available to students and staff; Assists in maintaining office equipment and adequate supplies, ordering ffice equipment supplies , as necessary to meet school needs; Assists Attendance Technician maintaining files and records (e.
g.
student files, discipline reports, absence reports, payroll, etc.
) to provide current and timely information; May assists Office Manager with daily operations, as required, (e.
g.
securing substitutes, building emergencies, student discipline, attendance, overseeing students in the office, enrollment, etc.
) to ensure a safe and welcoming environment for students, staff, parents, and the public; Answers telecommunication systems for the purpose of screening calls, transferring calls, responding to inquiries, and/or taking messages; Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions; Assists in Health Office and assumes responsibility in absence of Health Technician, as required; Assists Office Manager and may assume responsibility in absence, as required; Sorts and distributes mail; and Perform other related duties as assigned.
Skills, Abilities, and Additional
Qualifications:
Must have a high school diploma or equivalent; working toward a college degree is desirable; Must have a good working knowledge of filing systems, telephone techniques, and basic computer applications; Must be able to demonstrate the following abilities:
Clearly communicate both verbally and in writing; English usage including spelling and, grammar, and basic math; Type a minimum of 40 words per minute; Organize and prioritize tasks; Establish and maintain effective working relationships with all co-workers; Deal with sensitive matters appropriately and exercises good judgment; Learn about the local community in which the students and their families live and work; Operate personal computers using various word processing and spreadsheet programs, including but not limited to Microsoft Office Word, Access, PowerPoint and Excel, database software, PowerSchool SIS; The ability to continually maintain a solid working knowledge and application of skills in the newest technological software and hardware programs; Learn the operations, organization, rules, regulations, and laws governing charter schools; Willingness to learn multiple intelligences approaches to learning.
To be employed by OPA the following conditions must be met:
All employees must fulfill California Education Code 44237, which requires fingerprints to be obtained from each new employee in order to obtain a criminal record summary prior to commencing employment from the Department of Justice.
The employee is responsible to pay for the fingerprinting costs; All employees who are mandated reporters, as defined by Penal Code 11165.
7, are to report known or suspected instances of child abuse or neglect.
Prior to employment, each employee shall sign a statement, on a form provided to him/her by Oxford Preparatory Academy, to the effect that he/she has knowledge of the statutory requirement that if he/she observes a child whom the mandated reporter knows or reasonably suspects has been the victim of child abuse or neglect, he/she shall immediately report this to Child Protective Services.
The Executive Director shall ensure that the provisions of this policy are carried out in accordance with the law; All employees must complete the I-9 form to verify that they have the legal right to work in the United States; All employees must have a social security card; and All employees and volunteers must provide the results of a T.
