This full time, hourly position, will support the General Manager, Landscape Coordinator and Casta del Sol team in a variety of administrative and clerical functions.

Essential Functions & Responsibilities Screen phone calls, possibly eliminating the need to speak to the Landscape Coordinator.
Provide follow up and tracking of homeowner and landscape reported maintenance problems.
Issue work orders for landscape maintenance requests to the applicable vendors and log the completion.
Provide administrative support to the Landscape Coordinator for Greenbelt committee meetings, attend monthly Greenbelt committee meetings, attend other miscellaneous meetings as necessary, assisting with backup for agendas, and other needed items.
Transcribe landscape maintenance walk through into working punch list.
Organize and process invoices/payable vouchers with the appropriate needed backup.
Compile and maintain spreadsheets for items such as warranties for plant materials, trees, etc.
Assist in developing and completing action items and landscape punch list items.
Under the supervision of the Landscape Coordinator assist in gathering data for the budget preparation and preparing reports as requested.
Assist in special projects as required by the Board of Directors or the Greenbelt Committee.
Prepare correspondence and landscape related violation notices.
Coordinate escrow inspections correspondence for the Landscape Coordinator.
Organize and file all landscape related correspondence.
Assist in scheduling meetings as needed.
Assist with contracts, requests for proposals, purchase orders, etc.
for landscape related projects.
Maintain a calendar for meetings and maintenance schedules.
Draft and assist with all correspondence, forms, reports, etc.
for the Landscape Coordinator.
Other duties as assigned and assist in special projects as requested by the Landscape Director, General Manager, Board of Directors and/or the Greenbelt Committee Chair.
Other job duties as assigned.
Education and/or Experience Required Minimum of two years related work experience with an emphasis in customer service.
Skills and Abilities Must be organized, very detail oriented, able to multi-task and prioritize in fast paced environment Must have exceptional customer service skills Excellent written and oral communication skills Must be proficient in Microsoft Word, Excel, and PowerPoint Strong organization, problem solving and analytical skills Ability to manage priorities and workflow Ability to work under stress, with interruptions, and meet all deadlines Ability to follow complex instructions Job Type:
